Form C for hotels: report a foreign guest in 24 hours
Short answerA hotel in India reports each foreign guest on Form C within 24 hours of arrival, on the government site indianfrro.gov.in. Each guest needs a separate form, also in a group. The hotel registers on the site once before the first form.
Steps
- Register the hotel once on indianfrro.gov.in (Form C, “Accommodation Provider”). The local FRRO or FRO approves the account.
- At check-in, copy the passport and the visa page. Take a photo of the guest.
- Log in and fill one Form C for each foreign guest.
- Submit within 24 hours of arrival. Keep the acknowledgement number.
- Mark the departure on the portal at check-out.
Details to collect at check-in
- Full name, as in the passport
- Nationality, date of birth, gender
- Passport number, place and date of issue, expiry
- Visa number, type, place and date of issue, expiry
- Date of arrival in India and port of arrival
- Arrived from (city), next destination, and contact number in India
- Purpose of visit
The penalty
A missed report is an offence under the foreigners law. Police check the hotel register against the portal. Some districts now call the form “Form III”.
Save time
Most of the time goes into copying passport details twice: once in the register, once on the portal. Deskfull CRM takes the details once at check-in, warns the desk when a Form C is due or late, and prints the guest register for the police. See the hotel software.
